What is a school fee voucher?

A school fee voucher (fee challan) is a printed slip that tells parents how much fee to pay, by which due date and into which bank account. In Pakistan it is usually printed as three copies on one A4 page — Bank Copy, School Copy and Student Copy — so the bank, the school and the parent each keep proof of payment.

How do I make a fee voucher for my school?

Enter your school name, bank details, the student’s details and the fee heads in the form above; the voucher builds itself as you type and you can print it or download it as a PDF.

You do not need Excel, Word or a designer. The tool adds up all fee heads, works out the amount payable after the due date and writes the amount in words in English and Urdu. Your logo and details are remembered on your own device, so next month you only change the student and the month.

What should a school fee challan include?

A complete fee challan shows the school and bank details, the student’s details, every fee head with its amount, the total, the due date and the amount payable after the due date.

  • School name, logo, address and phone number
  • Bank name, account title and account number
  • Student name, father name, class / section and roll number
  • Fee month, issue date and due date
  • Fee heads — tuition fee, admission fee, exam fee, transport fee and any other charges
  • Total amount, amount in words, late fine and “payable after due date”
  • A copy label on each part: Bank Copy, School Copy, Student Copy

Why does a fee challan have three copies?

Each party keeps one copy as proof: the bank keeps the Bank Copy, the stamped School Copy goes back to the school office, and the parent keeps the Student Copy.

This is the standard bank challan format for schools in Pakistan. When a parent pays at the bank counter, the cashier stamps all three copies, keeps one and returns two. The school office then marks the fee as paid from its copy.

How is the late fine on a fee voucher calculated?

The tool adds the late fine you enter to the total and prints it as the “payable after due date” amount, so parents see both amounts clearly.

ItemExample
Tuition feeRs. 3,000
Exam feeRs. 500
Total (payable by due date)Rs. 3,500
Late fineRs. 200
Payable after due dateRs. 3,700

Can I make a school fee voucher in Urdu?

Yes. Choose English, Urdu or bilingual labels; the amount in words is always printed in both English and Urdu.

Many parents read Urdu more easily, so a bilingual fee slip format (English + اردو) is a good choice for most Pakistani schools and madrasas.

Can a madrasa or tuition centre use this fee receipt format?

Yes. Rename the fee heads (for example “Hifz fee” or “Monthly fee”) and use it as a madrasa fee receipt or academy fee slip.
