School Management Software in Karachi: What to Check Before You Buy

Karachi schools have problems a brochure doesn't mention: power cuts in the middle of fee week, parents who commute two hours and never visit the office, and owners who run three branches across the city. Software that works in a demo room in Islamabad may not survive a month here.

Power and internet will go off

Ask how the system behaves during load-shedding. The clerk should be able to keep collecting fees on a laptop running on a UPS, with or without internet, and everything should sync once the connection is back. A desktop app with offline storage is the safest choice for Karachi.

Branches should be separate — and together

If you run more than one campus, you need two views:

  • Each branch sees only its own students, staff and fees.
  • The owner sees all branches together: total collection today, outstanding fees per branch, staff attendance.

Check that a branch clerk cannot see another branch's data, and that moving a student between branches keeps their fee history.

Bank challans that match your bank

Most Karachi schools collect through Meezan, HBL, UBL or Bank Alfalah. The voucher must print in the format the bank counter expects — three copies, your account details, and a clear amount payable after the due date. Bring a real challan from your bank to the demo and ask them to match it.

Parents who never come to the office

For busy parents, WhatsApp is the school office. They should receive:

  • the fee voucher at the start of the month,
  • a message when their child is absent,
  • results and report cards,
  • a receipt when they pay.

A parent login using the child's GR number and a PIN lets them check fee history and attendance without calling the school.

Hiring teachers

Teacher turnover is high in Karachi's private schools. A system that also lets you post a teaching vacancy and receive applications saves weeks during the hiring season. School Sahulat includes a teaching job portal for this.

Before you sign

  • Try it for two weeks with real students from one class.
  • Print a voucher, a result card and an attendance report.
  • Switch off the Wi-Fi and see what still works.
  • Call support at 7 pm and see who answers.

If it passes those four tests, it will probably survive a Karachi school year. You can start a free trial of School Sahulat and run those tests yourself.
