How to Choose School Management Software in Pakistan: A 2026 Checklist
What to check before you pay for school software in Pakistan — fee vouchers, offline use, WhatsApp, Urdu, data backup and support — with questions to ask any vendor.

Most school owners in Pakistan buy software after a demo that looks great on a fast laptop and good Wi-Fi. Three months later the clerk is back on the register because vouchers don't match the bank's format, the internet keeps dropping, or nobody answers the support number. This checklist is meant to stop that from happening.
1. Can it print your fee voucher the way your bank wants it?
Fees are where a school's money is, so start here. Ask the vendor to print a real voucher for one of your students during the demo.
- Three copies on one page: Bank Copy, School Copy, Student Copy
- Your bank name, account title and account number (or IBAN)
- Fee heads you actually use — tuition, transport, exam, lab — and arrears from last month
- Late fine after the due date, and the amount in words
If they can't print it in the demo, they won't print it later. (You can try our free fee voucher generator to see what a complete challan looks like.)
2. What happens when the internet goes off?
Load-shedding and weak connections are normal. Ask plainly: if the internet is down for two hours, can the clerk still collect fees and mark attendance?
A good answer is an offline desktop app that saves work locally and syncs when the connection returns. "It's cloud-based, you'll always be online" is not an answer.
3. Does it talk to parents on WhatsApp?
Parents in Pakistan read WhatsApp. They rarely install a school app, and they ignore SMS. Check that the software can send fee reminders, absence alerts and results on WhatsApp, and that messages look like they came from your school, not a robot.
4. Urdu, and your terms
Can you print result cards and notices in Urdu? If you run a madrasa, does it understand Darja, Hifz and Nazra? If you run an institute, does it work with courses, batches and instructors instead of classes and sections? Software that forces your school into someone else's words gets abandoned.
5. Who owns the data, and is it backed up?
Ask three questions:
- Can I export all my students and fee records to Excel at any time?
- How often is data backed up, and where?
- If I stop paying, what happens to my data?
You should be able to leave with your data. If a vendor hesitates here, walk away.
6. Parent and staff logins that are simple
Parents should log in without remembering an email password — a GR number and a PIN is enough. Teachers should see only their own class or students, and fee information should be visible only to the people you allow.
7. Price you can predict
Compare the yearly cost for your number of students, including setup, training and WhatsApp messages. Ask what is not included. A low monthly price with paid add-ons for every feature usually ends up costing more.
8. Real support
Call the support number before you buy. Note how long it takes to get a human, and whether they understand a question about vouchers or arrears without needing it explained twice.
