How to Make a School Fee Voucher (Challan) in Pakistan — Format and Example

A fee voucher (challan) is the most-printed document in any Pakistani school. Get it right and parents pay at the bank without calling the office. Get it wrong — a missing account number, an amount that doesn't add up — and the clerk spends the week answering phone calls.

The standard format: three copies on one page

Pakistani schools print the challan as three copies side by side on an A4 page, turned sideways (landscape):

  • Bank Copy — the bank keeps it.
  • School Copy — stamped by the bank, returned to the school office.
  • Student Copy — the parent keeps it as proof.

The parent takes the whole page to the bank. The cashier stamps all three parts, keeps one and hands back two.

What every copy must show

School and bank

  • School name, logo, address and phone
  • Bank name, account title and account number or IBAN

Student

  • Student name and father's name
  • Class and section (or course and batch)
  • Roll number or GR number

Fee details

  • Fee month, issue date and due date
  • Each fee head on its own line — tuition, exam, transport, lab, admission
  • Arrears from earlier months, if any
  • Total payable by the due date
  • Late fine, and the amount payable after the due date
  • The total written in words

Working out the total

Here is a typical month:

ItemAmount
Tuition feeRs. 4,500
Exam feeRs. 800
Transport feeRs. 2,500
Total by due dateRs. 7,800
Late fineRs. 300
Payable after due dateRs. 8,100

In words: Seven Thousand Eight Hundred Rupees Only — in Urdu, سات ہزار آٹھ سو روپے.

Write both the "by due date" and "after due date" amounts on the voucher. Parents should never have to calculate the fine themselves.

Arrears and partial payments

If a student paid only part of last month's fee, the unpaid balance carries forward as arrears on this month's voucher, on its own line. Don't hide it inside the tuition fee — parents need to see why the amount changed.

English, Urdu or both?

Many parents are more comfortable with Urdu. A bilingual voucher — English labels with Urdu beside them, and the amount in words in both languages — works for almost every family.

Common mistakes

  • An old account number left on the template after the school changed banks
  • The due date falling on a Sunday or bank holiday
  • Arrears added to tuition instead of shown separately
  • The amount in words not matching the figure
