WhatsApp Fee Reminders Parents Don't Ignore: Timing and Message Templates
When to send school fee reminders on WhatsApp, how to word them politely, and ready-to-copy templates in English and Roman Urdu for Pakistani schools.

Fee reminders are awkward. Send them too early and parents feel pushed; send them too late and the school runs short at the end of the month. Most of the difference comes down to timing and tone, not technology.
When to send reminders
A simple schedule that works for most schools:
- On the 1st — the voucher itself, with the amount and due date.
- Two days before the due date — a short, friendly reminder.
- The day after the due date — the amount now payable including the late fine.
- One week later — a personal message from the office, not a template.
Stop there. More messages after this point usually hurt the relationship more than they help collection. A phone call or a meeting works better for the few families still behind.
How to word it
Keep reminders short and specific. Parents should know three things without scrolling: the child's name, the amount, and the date.
- Use the student's name, not just the parent's.
- Give the exact amount and the month it is for.
- Say how to pay — bank account, or the school office timings.
- Thank them. Many parents are paying on time with difficulty.
Avoid capital letters, warnings in the first message, and words like "defaulter".
Templates you can copy
Voucher (English)
Assalam-o-Alaikum. The fee voucher for Ali Raza (Class 5) for October is Rs. 3,500, due by 10 October. You can pay at Meezan Bank, A/C 0123-0101234567, or at the school office. Thank you.
Friendly reminder (Roman Urdu)
Assalam-o-Alaikum. Ali Raza ki October ki fee Rs. 3,500 ki aakhri tareekh 10 October hai. Agar aap jama kar chuke hain to shukriya, is message ko nazarandaz kar dein.
After the due date (Roman Urdu)
Assalam-o-Alaikum. Ali Raza ki October ki fee abhi baqi hai. Late fine ke saath ab Rs. 3,700 bante hain. Kisi mushkil ki surat mein office se rabta kar lein. Shukriya.
Send it from the right number
Use the school's own WhatsApp number, saved under the school's name. Messages from a random personal number are often ignored or reported. If you send to many parents, use WhatsApp Business so the school's name and timings show on the profile.
Track what happens next
A reminder only helps if someone checks the result. Keep a simple list each week: who paid after the reminder, who asked for more time, and who needs a call. Partial payments should be recorded the same day so the next reminder shows the correct balance — nothing annoys a parent more than a reminder for money they already paid.
Doing this without a clerk spending all day on it
You can do everything above by hand for a small school. Once you have a few hundred students, the copying and pasting takes hours. In School Sahulat the voucher, the reminder and the receipt are sent from the student's fee record, so the amount is always the current balance. You can also make a single voucher for free with our fee voucher generator.
